What is the CMA Awards Mailing Service?

The CMA Board has authorized a new opportunity for CMA Awards nominees to educate CMA voting members about the nominees and nominated products. This opportunity is available to all nominees, but nominees who are CMA members may take advantage of discounted rates.

This controlled mailing service is available only for those appearing on the second or final ballots of the CMA Awards during the balloting period from July 26 through October 28, 2007.

Under NO circumstances will the authorized mailing house release the CMA Awards mailing list to anyone.

What are the fees for the CMA Awards Mailing Service?

Fees vary depending on category of CMA Membership and the Areas to be mailed. Quantities of addressees are listed below.

Area I – All CMA Voting Members Residing in the United States

Quantity of mailing pieces necessary: 5,000 per mailing

Quantity of mailing pieces necessary: 500 per mailing

Additional fee per mailing $50

What if I am not a CMA Member, but would like to receive a discounted fee?

You may apply for membership by contacting Brandi Simms at (615) 664-1607 or by applying online at www.CMAworld.com. In order to take advantage of the discounted membership rates, your application must be received for the Second Ballot mailing by June 28 and for the Third Ballot mailing by September 15.

Are there limits to the number of mailings a qualifying Nominee/Nominee Representative can send?

No. However, each mailing must have a separate authorization request form completed and each should be sent with separate payment. The mailing house will invoice separately.

What are the mechanics of the CMA Awards Mailing Service for qualified Nominee/Nominee Representative?

    1. Nominee/Nominee Representative must complete a Shipping Authorization Request form and send it with payment to CMA for approval.
    2. Upon approval from CMA, Nominee/Nominee Representative will be contacted by Southern Post (authorized mailing house for 2004) directly to work out logistics of the mailing and to determine postage and handling charges.
    3. Nominee/Nominee Representative must then deliver product/insert(s) and estimated postage payment for shipping directly to Southern Post.
    4. After the mailing is completed, Southern Post will invoice the Nominee/Nominee Representative directly for all mailing house handling charges and return any unused supplies and product/insert(s).

What is the time frame for 2004 CMA Awards balloting?

What is the time frame for mailing?

Qualified Nominee/Nominee Representative must indicate on the Shipping Authorization Form the date they will deliver their product/insert(s) to Southern Post mailing house. This will allow Southern Post to schedule the mailing so that it may be sent in a timely manner.

Allow up to 5 business days for Southern Post to mail your product.

Who is responsible for what?

CMA is responsible for providing a digital file of the current CMA Awards Voting Membership mailing list to Southern Post by the day of each scheduled controlled mailing.

Nominee/Nominee Representative approved for using this service is responsible for dealing directly with Southern Post regarding all logistics and all additional charges incurred. Additional charges may include:

CMA is not responsible for any delays in mailing. Every effort is made to ensure accuracy of the CMA Voting Membership mailing list. All returned mail will go directly to sender listed on return address. CMA is not responsible for forwarding any returned mail.

What postage costs will be incurred?

Postage costs will vary based on package weight, size and what type of postal service (first class, priority or express mail) you prefer.

Can I use my own permit number?

What types of inserts/envelopes are not acceptable?

CMA reserves the right of final approval on all items to be mailed to the voting membership. Anything considered derogatory of any nominee, the CMA Awards or the CMA itself cannot be accepted for mailing.

How will packages be sent?

All packages will be sent through the United States Postal Service via First Class Mail, Priority Mail or Express Mail. Rates vary depending upon method of shipping. Presorted/permit rates are applicable.

How many inserts can I send per envelope?

Limit 2 inserts per envelope.

Where should I send payment?

Payment for use of the CMA Awards Mailing Service must be sent to CMA with your shipping authorization request form.

Payment for postage and mailing house charges must be sent to Southern Post.
Postage payment is due to Southern Post in advance of mail out or you may use your presorted permit number on your envelope that will pull funds from your permit postage account.

Mailing house payments are due after the mailing is completed. You will be invoiced directly from Southern Post.
